Apostille vs Consular

China joined the Hague Convention in November 2023. The applicable route — apostille or consular — depends on the specific receiving authority and document type. We confirm the correct pathway before any submission.

Express handling

Priority processing is available on many routes. Select express during the route check and we will confirm availability for your specific pathway.

Additional steps

Some documents require notarisation, certified translation, or witness by a Legal Practitioner before authority submission. These are identified during document review.

Engagement Standards

Our Professional Commitments

Each matter is managed on its individual merits. A written fee schedule and confirmed timeline are provided after document review — before any authority submission or payment is required.

01
Pathway Verification

The correct authority pathway, required document form, and applicable procedural steps are confirmed in writing before any matter proceeds. We do not proceed on the basis of country name alone.

02
Chain of Custody

All document submissions are handled through a controlled intake channel with access restrictions, auditability, and redaction workflow. Original documents are tracked from receipt to return dispatch.

03
Written Fee Confirmation

A written fee schedule covering all authority charges, coordination fees, and courier arrangements is provided before any payment is required. No charges are incurred without prior written agreement.

04
Direct Authority Liaison

We manage all correspondence and submissions to DFAT, consular offices, and relevant registries. Clients are not required to engage independently with any government body.

05
Milestone Reporting

Every engagement is assigned a unique reference number with client-accessible milestone tracking. Status transitions and any required actions are communicated promptly at each stage.

06
Scoped Assessments

Fee schedules vary by document type, destination, and procedural requirements. We encourage preliminary enquiry before commitment. Begin with a route check to receive a scoped assessment.

What is the difference between apostille and legalisation?
An apostille is a standardised certificate issued under the Hague Convention of 1961, accepted by all member countries as sufficient evidence of a document's authenticity. Legalisation — also called consular legalisation — is required for countries that have not fully implemented Hague apostille acceptance, and involves additional steps including DFAT authentication and presentation to the destination country's consulate in Australia. Note: China acceded to the Hague Convention in 2023 — the applicable route depends on the specific receiving authority and document type.
I am outside Australia. Can I still place an order?
Yes. Our intake process is fully online. We coordinate from our Sydney office and can dispatch completed documents to eligible international addresses. For overseas-issued documents, international DHL handling is required and quoted as part of your fee confirmation.
What documents should I prepare before starting?
Typically: a valid passport or government-issued photo ID, a scan of your original document, and any specific instruction from your receiving authority (for example, "apostille required" or "notarisation and legalisation required"). If you are unsure, begin with the route checker and we will confirm requirements after reviewing your submission.
Does a Justice of the Peace replace a Notary Public for international use?
Not in most international contexts. A Justice of the Peace can witness signatures and certify copies domestically in Australia, but their authority is not recognised internationally in the same way as a Notary Public. Many consular and legalisation pathways specifically require a Notary Public. We confirm which is required for your route during document review.
Can processing time be guaranteed?
No. All timelines are estimates subject to authority queue conditions, destination requirements, and document status. We provide a confirmed timeline window after reviewing your documents — before payment is required. Express handling may reduce expected timeframes where the route permits.
Will my information be disclosed overseas?
Where required for processing — for example, when submitting documents to a consulate or overseas authority — your information may be disclosed to overseas recipients. This is done strictly in accordance with our Privacy Policy and applicable Australian law. Full details are available in our Privacy Policy and Authorisation Notice.
